Reception/Administration Apprentice
Craneswater Group Practice
Position is between two sites in the Southsea area
£4.50-5.00 an hour, Monday-Friday 9am-4pm (worked flexibly within the needs of the practice), 32 hours a week
Craneswater Group Practice is a doctors surgery in the heart of Southsea. We are responsible for providing friendly, caring and timely medical services to our patients.
A varied and busy role within a GP surgery. You will be the first point of contact dealing with all enquiries, procedures and making new and follow up appointments using NHS computerised systems promptly and accurately, whilst maintaining and monitoring the appointment system. You will also maintain administrative systems and assist managers and leads where necessary.
Main duties
  • To act as the main point of contact for patients needing to be in touch with the surgery, either by telephone or face to face
  • To maintain a good relationship between staff and patients, by showing sensitivity to the needs of others
  • To maintain total confidentiality regarding information about patients and ensure that all patients are treated in a courteous and respectful manner
  • Answering general enquiries, making appointments and recording messages accurately
  • Recording requests for home visits and ensuring that the notes are available
  • Ensuring the consulting rooms are tidy and ready for use
  • Tidying waiting rooms at the end of the day
  • Covering other staff when they are on holiday or sick, including extended opening hours
  • Undertake administration duties to include but not restricted to: read coding, scanning of clinical documents, workflow management, monitoring lab results, new patients, deductions, general filing
  • Any other admin duties the management team feel appropriate to the role.
This is a very demanding intense role and you will be dealing with sensitive issues.

GCSE 9-4/A*-C in English, ICT and maths or Functional Skills Level 2 in all three
What does the programme include?

The Apprenticeship will focus on Business Administration and includes the following knowledge criteria:
  • Understanding the organisational purpose, activities, aims, values, vision for the future and resources.
  • Knows the organisational structure and demonstrates understanding of the benefits, knows their role in the team and recognises how their skills will help them progress.
  • Understands Laws, regulations and internal policies all related to their sector.
  • Understands relevant external factors (policy change, supply chain, national/global markets, employment).
  • Business Fundamentals – managing change, business finances and project management.
What attendance is required?

Attendance at College will be required on weekly on Wednesdays 9:30-12:30pm. Your assessor will liaise with you to set up mutually convenient times for consultation and assessment visits at your place of work.
It is a Government requirement for you to spend 20% of your apprenticeship working towards your “Off the Job Learning” – off the job learning can consist of college attendance, homework/coursework, project related work, employer training, mentoring and coaching – plus a number of other tasks.

Learning and assessment

Apprentices build a portfolio of work and work place assessors will be in regular contact to provide support, and to arrange on-site visits to observe the apprentices’ ability and skills in their daily role. It is important for the apprentice to take ownership of their own learning by seeking out opportunities to gain new skills on the job with the employer. The apprentice’s final grade will be determined by collective performance in the three assessments in the endpoint assessment. To achieve a pass or distinction the apprentice will need to score 60%-79% (pass), 80%+ (Distinction).
The three assessments are:
  • Online Knowledge Based 50 multiple choice questions - 60 minutes (33.3%)
  • Portfolio Based Interview – 30-45 minutes (33.3%)
  • Project Improvement Presentation 20-30 minutes (33.3%)
